Theatre Rental Information

Rental Procedures for the School of Theatre and Film's Facilities
Thank you for your interest in renting a School of Theatre and Film facility space. We look forward to serving your space needs. Please read this carefully and see our FAQ page for some very important information regarding who we are and the use of our space.

  1. Please fill out the Intent to Rent form as completely as possible. It can be sent to John Tang, program coordinator for the ASU Herberger College School of Theatre and Film, via e-mail at John.Tang@asu.edu, via fax at 480.965.5351, or via mail at PO Box 872002, Tempe, AZ, 85287-2002. Feel free to call him at 480.965.3381 with any questions.
  2. When the Intent to Rent form has been received, it will be reviewed by the technical supervisor, Peter Weisman. If there are no major conflicts due to other events, technical requirements and staff availability, your organization will then be contacted to set up a meeting and tour of the appropriate venue.
  3. At the venue, both parties will be able to visualize and discuss the details of the event together.
  4. If the venue and requirements are satisfactory to both parties, a contract and cost estimate will be drawn up. These will go through an approval process by the director of the School of Theatre and Film. Off-campus renters will also need to provide proof of insurance ($1,000,000 policy) before the contract will be approved. Non-profit renters will need proof of non-profit status before contract will be approved.
  5. Your organization will have the opportunity to review the contract and estimate. If it is satisfactory, it can be mailed or faxed to John Tang at the information provided above after it is signed.
  6. The contract will then be reviewed by the dean of the Herberger College of the Arts who will provide the final signature. Please do not make any arrangements, do any marketing or advertising, or assume your organization has secured the venue until this final signature has been received. You will then receive a copy signed by all parties.
  7. Four weeks before the event or immediately after all parties have signed (if contract signed less than 4 weeks away from event), a 50 percent deposit of estimated costs will be due.

* Note - please make a note on all your publicity materials that your event is in no way affiliated with ASU or the Herberger College of the Arts and please provide your contact information on all publicity materials. Please do not refer your patrons to the Galvin Playhouse box office as their services are not made available for events not affiliated with the Herberger College of the Arts.
