Theatre Rental Information: Rental FAQs

Can I serve refreshments or cater my event in the venue?
No food or drink is allowed in any of the theatre spaces. If renting the Galvin Playhouse, the courtyard out in front may be reserved for such purposes by contacting Les Beres at 480.727.6639 or Leslie.Beres@asu.edu.

Can I sell merchandise, concessions, etc?
No concession or merchandise sales (to include food or drink, souvenir programs, recordings, books and any other merchandise) are permitted on the premises. Income from ticket sales is expected to be used only to defray costs of the event.

What about fundraising or donations?
No individual, group or organization is permitted to collect donations or raise money of any kind in conjunction with an event held on public property.

Can I use your box office or ticketing system?
Our box office and ticketing system is restricted to events affiliated with the Herberger College of the Arts only. Your organization will have to provide its own system of selling tickets. Tables and chairs can be provided in the lobby for ticketing purposes if requested.

What about ushers for the event?
Your organization will be required to provide its own ushers who will be trained by our house manager. All ushers must show up one hour prior to the event in black shoes, black pants (or skirt) and a tucked-in white button-up collared dress shirt.

What is the necessary staffing for my event?
At a minimum, a house manager, a sound-board operator, light-board operator, and a backstage crew member will be required. Depending on the size and needs of your event, more backstage crew and/or a facility manager will also be required. All workers have a four-hour minimum workday. Every effort will be made to staff your event with student workers, but outside crewpersons may be used if student workers are not available at certain positions at a higher pay rate.

What is the difference between your facility and a standard for-profit rental facility?
This question is important to answer because while we are looking forward to serving your needs to the best of our ability, the differences require a change in expectations. Please note that we are an academic institution, not a for-profit rental house, so there are some differences that you will need to note. A standard rental house tries to fill its open scheduling time slots and has a full crew and ready equipment to handle most any event. As an academic institution, our facilities are reserved for our own events, with staffing, technical equipment and needs addressed on a per show/event basis. We enjoy the opportunity to open our facilities for public use barring any conflicts with academic use (scheduled and tentative), and we also must take into consideration the availability of our student workers (factors include academic work, midterms/finals, commitment to our own shows, other jobs, winter/summer breaks and vacations, etc.) We are proud of the many opportunities we offer students in our school and as such, they are often an extremely busy group. We are not obligated in any way to host an event and may retract dates due to academic priorities before signatures on contracts are received. It is important that no assumption of the guarantee of space is made until approval and signature by the dean of the College of the Arts is received.

Please do not make any arrangements, do any marketing or advertising, or assume your organization has secured the venue until this final signature has been received.
